  • Keep family details updated — Ensure your department always has accurate details of your spouse, children, and dependents.
  • Update all nominations — Especially for Gratuity, GPF, and CGEGIS. Outdated nominations can cause significant delays.
  • Verify no gaps in service — Get your Head of Office / DDO to certify that your service record is complete.
  • Obtain Certificate of Qualifying Service — You are entitled to this on completing 18 years of service and 5 years before retirement. This period cannot be reopened later.

Pension Processing Timeline — A Step-by-Step Roadmap

The Department of Pensions & Pensioners’ Welfare has laid down a clear timeline for processing pension cases. Both the employee and the administration have responsibilities at each stage.

18 Years of Service / 5 Years Before Retirement

Certificate regarding verification of qualifying service is issued. (Ref: Notification No. 1/19/13-P&PW(E) dated 29.8.2014)

12–15 Months Before Retirement

Formal verification process begins. Outstanding dues are assessed. References are sent to PAO and Directorate of Estates for No Dues Certificate (NDC).

8 Months Before Retirement

A certificate regarding qualifying service and emoluments is provided to the retiring employee along with a blank Form 5.

6 Months Before Retirement

The retiring employee must submit: filled-in Form 5 (with bank details & joint photo), Form 3 (family details), nomination forms for Gratuity, GPF, CGEGIS, Commutation & Arrears (Form A), Undertaking for the Bank, and the Anubhav Form.

4 Months Before Retirement

Head of Office forwards pension papers (Form 5, Form 7, Form 8) to PAO, specifying any Government dues to be recovered from Gratuity.

1 Month Before Retirement

PAO sends the PPO to CPAO. CPAO forwards it with the Special Seal Authority (SSA) to the pensioner’s bank within 21 days.

On Retirement
